The Retrofit Is Finished. Is the Documentation?

The Retrofit Is Finished. Is the Documentation?

At BERtech Innovation Ltd, our work increasingly involves supporting One Stop Shops, contractors and other professionals delivering residential energy upgrades.

Through that work, we have repeatedly encountered the same problem.

A retrofit can look finished on site long before the project is actually finished.

The contractors have completed their work. The measures have been installed. The homeowner may already be enjoying a warmer, more comfortable and energy-efficient home.

But is the documentation complete?

In our experience, the answer is often “No”.

There can still be a significant amount of work required to bring together the technical information and evidence needed to properly complete and sign off the project.

Which exact insulation products and thicknesses were installed? Is the correct certification available? Do we have the certified thermal performance and solar transmittance data for the windows and doors? Where are the airtightness test results and ventilation validation records? Have the heating and ventilation systems been commissioned and properly documented? Are the required declarations complete? Is there sufficient evidence for the final BER and is that evidence clearly linked to the property?

Suddenly, a project that appeared to be finished still has quite a bit of work left to do.

When everyone has moved on, the paperwork hasn’t

This is where the real difficulty can begin.

The contractors and subcontractors may already have left site and moved on to other jobs. The One Stop Shop or retrofit coordinator is trying to close out the project. The BER assessor is trying to complete the final assessment.

Missing information has to be chased. Certificates need to be checked. Products and technical values need to be confirmed. Contractors, suppliers and manufacturers may need to be contacted again.

A project that appeared finished can continue to drag on for weeks and sometimes months.

That costs time and money for everyone involved and can contribute to delays in final BER completion, project sign-off, grant processing and payment.

Because a retrofit isn’t really finished when the work on site is finished. It’s finished when the work is properly documented, verified and signed off.

That is the problem we are developing renovationpassport.ie to help solve.

What if the documentation was built with the project?

Instead of trying to reconstruct the project at the end, what if the information needed to complete it was created and collected as the renovation progressed?

And what if everyone involved could collaborate around the same project?

The One Stop Shop. The retrofit coordinator. Contractors and subcontractors. Architects and engineers. The BER assessor.

renovationpassport.ie is being developed as a shared digital platform that brings those professionals, the project information and the supporting evidence together from Design through to As-Built.

The design specification can be developed within the platform. Products can be selected using validated technical information and certification. Evidence can be added as work progresses. Testing, commissioning and declarations can be recorded. Changes between the original design and what was actually installed can be captured in the final As-Built record.

And importantly, the information can be structured around what the BER assessor ultimately needs producing a clear technical record and evidence package to support completion of the final BER.

The aim is simple: don’t wait until the end of the project to discover that the information needed to finish it isn’t there.

Validated products. Real technical data.

A key part of Renovation Passport is a growing library of validated product information and certification.

For insulation, that means identifying the exact product and the declared thermal conductivity needed to calculate accurate U-values.

For windows and doors, it means retaining the appropriate certified thermal performance and solar transmittance data.

For heating and ventilation systems, it means capturing the relevant technical performance data together with the appropriate supporting documentation.

Once information has been validated, it can be reused rather than researched from scratch on every project.

The result is more than a collection of PDFs. It is a structured technical record of what was designed, what was installed and the evidence behind it.

Building a meaningful Renovation Passport

As Ireland moves towards Building Renovation Passports, we believe that record should be based, wherever possible, on real information about the building rather than default values.

The materials installed, calculated thermal performance, certified windows and doors, heating and ventilation systems, renewable technologies, testing and supporting evidence can form part of a lasting technical history of the dwelling.

That information has value not only for today’s BER or retrofit project, but for the building and its owners long into the future.

We are building it now

renovationpassport.ie is being developed by BERtech Innovation Ltd, based on our experience working within the Irish energy assessment and retrofit industry.

The principle behind it is simple:

Documentation shouldn’t be something we chase after the renovation. It should be something we build with it.

From the first design decision to the final As-Built record, the information needed to complete the project should be captured, checked and carried forward as the work progresses.

“Because the job isn’t finished when the contractors leave site. The job is finished when the renovation and the documented evidence behind it is complete”.
